Diagnosis & CPT/HCPCS Quick Pick

Previous pageReturn to chapter overviewNext page
The Diagnosis/CPT/HCPCS Quick Picks require very little setup (if any).
The new selection routines work off of a Diagnosis or CPT/HCPCS Code Frequency file that contain frequencies of all the Diagnosis/CPT/HCPCS codes for the past 60 days.
It initially displays the top 100 or so in alphabetical order. The selection also displays past Diagnosis/CPT/HCPCS codes for the given account.
If a Frequency Group is not setup, and there is a reason to use the Doctor, e.g. Superbill or Progress Note, then the frequency file is for that Doctor. If the user isn't in a frequency group  and there isn't a reason to use a Doctor then the frequency file will be for the whole practice. If there is a Frequency Group setup for a group, the list is based on that group's frequency.
The lookup splits similar Diagnosis/CPT/HCPCS descriptions into headings.
The codes displayed when typing will meet a fixed threshold, currently set at 98%. If D is typed in the lookup box, it will show all codes with descriptions starting with D that fall into the top 98% of Diagnosis or CPT/HCPCS codes for the practice. The more letters typed, the further the list is filtered.
The Full List can be viewed for the current filter in case the Diagnosis or CPT/HCPCS Code that is needed does not fall in the top 98%.

ZexpandedDiagnosis/CPT/HCPCS Frequency File

Each night (during the MEDENT backup) the Diagnosis and CPT/HCPCS Frequency files will be automatically created for the Diagnosis code and CPT/HCPCS code files in MEDENT. If the Backup process did not complete, the frequency file can be built by using the Create Dx and CPT/HCPCS Code Frequency Info For Quick Picks utility. This Frequency file will also be cached on the PC's that are using the new selections.

ZexpandedDebugging Options

The Diagnosis and CPT/HCPCS lookups also have a debugging option. When on, the Frequency percentage of each Diagnosis or CPT/HCPCS Code will appear to the left of its description. To turn the Debugging on, enter the following keystroke from the main menu: [Ctrl + Alt + Shift + D]. Do the same thing to turn it off. A message box will pop up saying the debugging is on or off if the keystrokes were entered correctly.

Suppose for a given CPT/HCPCS Code that there is a (0.34) for it's Debugging percentage. This means for the given Frequency group, this Code has been performed .34% of the time with respect to all the codes performed. Some codes may have a Debugging percentage of 0.00. Note: This does NOT mean that it has never been used but may denote it's just used very infrequently.

If all CPT/HCPCS Codes are showing 0.00%, please see Troubleshooting - Frequency Setup.

ZexpandedFiguring the Cutoff for Displaying Codes

The complete list of all codes performed for a given Frequency group is sorted from the most frequently used percentage to the least frequently used percentage. Starting with a total of 0, the Frequency for the first Code in the list is added to the total. The sorted list is run through until 98% is reached for the total. At that point any Code that has been added makes the cutoff. Any Code that has not been added will miss the cutoff and reside in the "full list" portion of the lookup.
