ZexpandedStep 2 - Insurance Company Master File

 

Set up new or change existing Collection Agency in the Master File. Before changing an existing Collection Agency, make sure that the office hasn't used this in the past for other collection activity.
New:

Sub Clm: Yes ECS: Yes

 

Edit/View:
Change the collection agency name if needed
Click Ins Co Screen / [F5]
AB (Assignment of Benefits): Y
AA (Accept Assignment): Y
Submit Insurance: Y
ECS, Bal due ECS: Y y
Run Set Activity ECS Flags on 3rd utility menu

 

ZexpandedStep 3 - Control File Setup

 

There is logging on the collection control file. This log will show any additions and/or changes made to the control file information. It will log everytime a collection file is selected and by what method. It will log if a previous collection file is overwritten by a new file.

Bureau Client #: Given by CBCC
Transmission #: 18882330657 Note: Add any additional information client may need, e.g. 9 before the number
Remote ID: Given by CBCC in format of MEDENTxx
Remote PWD: Given by CBCC in format of PASS0xx
BaudR Override: Leave blank. This is set by the modem.
Note Type / Cat: These are Note Types and Categories that pertain only to the Collection Agency. Notes must be added to avoid problems with your transmission to the collection agency. If Notes are to be sent to the collection agency, only the notes that pertain to collections can be selected. Sending any other notes to the collection agency, will be a violation of HIPAA standards.

ZexpandedStep 4 - Add to Patient Accounts

 

Add the Collection Agency to all of the accounts that need to go to collections through Patient Insurance.

 

Patients > Select Patient > Ins > New > Select CBC in InsCo field

 

Move Open Non-Assigned Charges on this Account to CBC?
Yes: Moves all open Non-Assigned charges (charges out to the Patient) to this company.
No: Requires each charge to be put individually out to this company

 

Still Allow Appointments for Account Members to be Scheduled?
Yes: Only for primary Patient party, must do for all.
This answer can be changed in Patient Status > OK to Schedule.

 

Use the Patient's Social Security number in ID # field: click Use Pat SS#.

 

ZexpandedStep 5 - Transmit

 

After all Patients have had the collection agency added to their account, select out a file and transmit. Note: If the primary Patient 2nd Address is attached to the account, this is the address that will be transmitted as long as the from and thru date have been completed. ZexpandedStep 6 - Cross Reference The Collection Agency Patient Account

 

1.Add the client's name and account # to the document attached to the Collection Agency MEDENT Account. The code is ..Cur12sup - Current Client List. In the event that some programming needs to be done for the collection agency, we can be sure to send updates to all the listed clients, i.e. Acct # 1155 Credit Bureau of Columbus Cos > Chart > Documents, etc

 

2.Check the client's insurance to be sure the correct collection agency is listed. If the correct information is not attached or is missing send a triage link to Patty B. She will update this information.
